Accounting Assistant Traineeship - Part Time
Part Time

The Accounting Assistant Trainee will be responsible for the provision of financial activities, reception, and some operational activities - This role is Part Time - 4 days per week, Monday to Thursday.
This role is a 12 month traineeship - applicants must not have current qualifications above Cert II

FINANCES
KEY RESPONSIBILITIES
Accounts payable, accounts receivable, accounting journals, cash flow management, investment transactions as directed, monthly and quarterly reporting, and legislative returns.
Participate in the development of reporting and analysis of financial and non-financial data
Assist in the preparation of Annual Statutory Accounts
Projects (ad hoc) – as directed by the FOM or CEO
Assessing current systems for areas of greater efficiency/improvement, and implementing change
Assisting with the review and maintenance of sound financial records, processes and systems

SPECIFIC DUTIES
Timely management of accounts payable and accounts receivable
Booking of travel and making purchases in line with business requirements
Monthly reconciliations and accruals
Preparation of monthly and quarterly reports
Assist in creating reports to respond to organisational reporting requirements
Timely submission of legislative requirements
Processing payroll (including super and PAYG returns) and maintaining employee records.
Carrying out bank reconciliations
Manage cash balances and petty cash
Reporting any irregularities in data to management
Producing balance sheets, income statements and other financial documents
Maintain asset register
Other duties, commensurate with position and capabilities, as requested by the FOM or CEO

RECEPTION
KEY RESPONSIBILITIES
Provide professional switchboard and reception services during office hours
Maintain the HIC's member databases; ensure annual June renewals are completed and followed up by end of July each year

SPECIFIC DUTIES
Answering telephones and welcoming walk-in queries during office hours
Maintain organisation files and databases
Distribution and posting of mail
Maintaining a clean and tidy office area
Other duties, commensurate with position and capabilities.

OPERATIONS
KEY RESPONSIBILITIES
Provide operational services ensure efficiency and collaboration, and compliance to company policies
Provide support for workshops, meetings and conferences
Assist in maintaining HIC policies and procedures

SPECIFIC DUTIES
Support the CEO and FOM with all governance matters, records and confidential Board information, including support of the AGM process and timely distribution of documents
Provide clerical support to staff on a project basis as requested by the FOM or CEO
Support the FOM to develop, maintain, implement and monitor policies and procedures relating to all aspects of HR, finance and office administration within HIC
Support the FOM to develop and implement effective record management policies, systems & databases for good collaboration of HIC staff
Support all staff to resolve any administrative queries as they arise
Liaise with IT service provider for all routine maintenance, issues, new staff setups, and changes in IT systems
Observe safe working practices and as far as you are able, protect your own and others’ health and safety
Other duties, commensurate with position and capabilities, as requested by the FOM or CEO

CULTURAL
KEY RESPONSIBILITIES

SPECIFIC DUTIES
Work closely with the Finance and Operations Manager, to enable cross-support
Maintain open communication channels with management and staff
Provide support and guidance to the FOM and CEO as required
Encourage a team environment and collaboration across departments

KEY COMPETENCIES
The requirements for the position include a demonstration of the following attributes:

Skills and Experience:

Familiarity with office management procedures
Demonstrated use of IT & digital skills; Intermediate to advanced Microsoft Office skills (Word, Excel, PowerPoint and Outlook)
Well-developed stakeholder relations skills and demonstrable experience in working effectively with a range of internal and external stakeholders with respectful interactions
Strong interpersonal skills, including the ability to listen effectively
Self-motivated and disciplined work ethic, good organisational skills
Good problem solving skills

 

NICE TO HAVE, but NOT ESSENTIAL
Understanding of, or experience within, the consumer health issues sector
